This policy explains when and why we collect personal information about people who use our services or our supporters, how we use it, the conditions under which we may disclose it to others and how we keep it secure. We aim to be clear when we collect your data about how it may be used or shared and not do anything you wouldn’t reasonably expect.
Developing a better understanding of our clients and supporters through their personal data allows us to make better decisions, provide services to meet our client’s needs, fundraise more efficiently and, ultimately, helps us reach our target of providing accessible and affordable services and social opportunities that will enhance mobility and wellbeing for the local community.
Who are we?
Go North Devon (GND) was founded in 1992 and provides a range of transport, mobility and information services for those who are frail, have a mobility problem, a disability (physical or sensory) or who are isolated within the community and are unable to use public transport or do not have independent means of travel.
We are a Registered Society under the Co-operative and Community Benefits Societies Act 2014. Our Registered Society number is IP27991R (Charitable Status).
Where we collect information about you from
We collect information in the following ways:
You may give us your information in order to sign up for one of our services (Shopmobility, Ring & Ride, Cancer Care Car), events, make a donation, purchase our products (including our raffle tickets), or communicate with us.
We may combine information you provide us with information available from external sources in order to gain a better understanding of our clients or supporters to improve our fundraising methods, products and services.
The information we get from other organisations may depend on your privacy settings or the responses you give, so you should regularly check them. This information comes from the following sources:
What personal data we collect and how we use it
The type and quantity of information we collect and how we may use it depends on why you are providing it.
GND will use your information for the purposes of customer service and administration (including assessing and reviewing your eligibility to receive the service), the provision of service related information, customer research, insurance purposes and fraud prevention. By providing us with your personal data, including sensitive personal data about your health, you consent to the collection and use of any information you provided in accordance with the purposes listed above. Your personal information will be properly safeguarded and processed in accordance with the requirements of current data protection legislation. When the information is no longer of use we will dispose of it correctly.
In certain circumstances, GND may also share your personal information with the police and other law enforcement agencies for the purposes of the prevention or detection of crime.
Publicity and Photo Consent
On occasion we may wish to take your photograph, or use a quote or story you have shared with us for publicity purposes. In each instance GND will seek your consent to use this and by which mediums you agree for it to be shared by us.
For safeguarding reasons if GND becomes concerned about your welfare we may contact your emergency contact (if you have given one to us) or Care Direct. In the case of Ring & Ride clients we may contact your representative (if applicable), or for Cancer Care Car passengers we may contact the hospital department you are visiting.
Emergency contact details will only be used in case of an emergency or when we have serious concerns about health and wellbeing. Wherever possible, your permission will be sought prior to getting in touch with your emergency contact.
If it is not possible for consent to be gained or if permission is denied, in very exceptional circumstances Go North Devon may still go ahead and use your emergency contact details.
Examples of circumstances when a decision may be made to get in touch with your emergency contact include: illness or admission to hospital whilst using our services, failure to meet the Ring & Ride bus or Cancer Care Car for booked transport either on the inward or return journey (if we are unable to contact you), failure to return the Shopmobility equipment by the agreed time (if we are unable to contact you).
How we keep your data safe and who has access
GND ensure that all appropriate technical controls are in place to protect your details.
Regular reviews are undertaken to ensure that your information is only accessible by appropriately trained staff and volunteers.
Any information submitted by you electronically, for example by email will be transmitted normally over the internet and can never be guaranteed as 100% secure. Due to this any personal information transmitted to us in this way is done so at your own risk.
From time to time, we would like to send you information about GND services.
Our forms have clear ‘opt in’ tick boxes for you to agree to being contacted about particular marketing opportunities, and the method by which we communicate with you. Your choice in receiving information about these services will not affect your application process. We do not sell or share your personal details with any third parties for the purpose of marketing. However if we run an event in partnership with another named organisation your details may need to be shared. In which case we will be clear with you what will happen to your data when you register to participate in this event.
Keeping your information up to date
Clients and supporters of GND are incredibly important to us and we respect your privacy. It is your choice whether and how you receive information from us about our work, fundraising and ways you can get involved. It is therefore important that we keep your personal information up to date. Go North Devon will contact you every two years to update your information and preferences, however you can contact us at any time if your circumstances change. Removing your data
You have the ‘right to be forgotten’ at any time. If you would like your information to be removed and for us to stop processing your personal data, if it is not necessary for the purpose you provided it to us for (e.g. processing your donation or continuing to provide the service to you) we will do so. In certain circumstances for legal or accounting reasons it may necessary for your records to be securely archived for a reasonable period. During this process current Data Protection legislation will be followed. Accessing your personal data
You have the right to ask for a copy of the personal data GND holds on you. If there any discrepancies in the information we provide please inform us and we will correct them.
If you would like access to your information please complete our Subject Access Request form. Before we respond to your request we must be satisfied of your identity. We will ask that you provide us with a copy of one of the following documents as proof of your identity:

Once the information is compiled for you can collect it either in person from the Shopmobility Centre, Albert Lane, Barnstaple, EX32 8RL or it can be posted to you.
If you are requesting that the information is posted to you we will also need proof of your address, with a copy of one of the following:

We have 30 days in which to provide a response to your request. To meet this time period and ensure you only receive the information you require, please provide us with as much detail as possible about the information you need.
We will be unable to provide you with access to information that is about other people without their consent. You will need to supply us with a Signed Consent Form from the individual before we can release their information to you.
In running and maintaining our website we may collect and process the following data about you:
Information about your use of our site including details of your visits such as pages viewed and the resources that you access. Such information includes traffic data, location data and other communication data.
Information that you provide when you communicate with us by any means.
